Let clients set the quantities before they sign

Invoice Crowd's Customize Quantity option lets a client change the quantity on each line before approving and signing, and the total recalculates. It works on estimates and purchase orders, for quantities up to 1,000,000.

  • Estimates and purchase orders
  • Up to 1,000,000 per line
  • Saved with approval

What is inside

Let clients size the order themselves

Clients often want more of one thing and less of another. Customizable quantity lets them set it on the estimate itself.

Adjust with precision

The client's edit

An Invoice Crowd estimate as the client sees it with editable quantities, one lowered from five licences to three and the total recalculated, next to the Customize Quantity option

Quantities move up or down

The client opens the estimate and changes the number against a line: three licenses rather than five, two days of editing rather than one. The document totals itself again as they work, so the price they are agreeing to is the price of what they have actually asked for.

  • Adjusted right on the estimate
  • Any quantity up to 1,000,000
  • Totals recalculate as the numbers change

Signed off once it fits

When the quantities are right, the client signs the estimate as it now stands. The signature sits on the adjusted document, so both sides know exactly which numbers were agreed.

  • One document, adjusted and signed in a single pass
  • E-signature captured in the browser
  • The signed version records the agreed figures

The benefits on your side

Fewer guesses, fewer rounds

Invoice Crowd estimates list with an approved estimate whose quantities were set by the client, showing the seats and hours they asked for and the approved total

Requirements straight from the client

Let the client set the quantity and skip the guesswork. What comes back is exactly what they intend to buy, so every estimate is a more reliable forecast of the work ahead and the revenue attached to it.

  • Accurate requirements instead of an assumption
  • Deliver the amount actually needed
  • Open quotes forecast more realistically

Less back and forth over a number

The quantity changes on the document itself, so both sides read the same figures and the estimate always reflects what the client asked for.

  • One shared set of figures
  • Nothing to retype
  • Clients get exactly what they asked for

What happens downstream

Works alongside client-removable items

Removable lines and adjustable quantities sit on the same estimate. A client can drop the extras they do not want, set how many of the ones they kept, and sign the result in one visit.

  • Deselect an item, then size the rest
  • Both choices recorded on the signed estimate
  • Finalized in a single visit

The invoice uses the client's numbers

Whatever the client settled on is what gets billed. Converting the approved estimate brings the adjusted quantities across, whether you do it by hand or leave it to run automatically, so the invoice always matches what was signed.

  • Adjusted quantities reflected on conversion
  • Works with manual and automatic conversion
  • The invoice total is the signed total

Questions

Customizable quantity, answered

How far can a client adjust a quantity?

Up to 1,000,000 on each line. Invoice Crowd recalculates the document before approval, so the accepted scope and totals are always clear.

Do I get notified when a client adjusts the quantity?

Yes, when the client approves the estimate. The approved document stores the quantities they set, so from that point you are scheduling and billing against their figures.

Can this be used together with client-removable items?

Yes. A client can select or deselect the client-removable lines first, then set the quantities on whatever they have kept, and sign once at the end. Both decisions are recorded on the same signed estimate.

Are the adjusted quantities used when the estimate becomes an invoice?

Yes. The quantities the client set carry through automatically when the approved estimate is converted, so the invoice bills the amount that was signed for rather than a figure someone has to transfer by hand.

Does the total update while the client is editing?

Yes. Line amounts, tax and any discount recalculate as the quantity changes, so the client always sees the real cost of the version in front of them before they sign.

Do my rates stay the same when a client changes a quantity?

Yes. Customizable quantity covers how many, never how much each. Your rates, taxes and discounts stay exactly as you set them.
