An Invoice Crowd estimate is a priced quote your client approves and signs online, or declines with an optional reason, before the expiry date you set. Use your own tax and discount rates, explain the scope, and let an approved estimate become an invoice, with a deposit if you ask for one.
What is inside
An estimate is the first document a client judges you on. These are the parts you shape: the lines, the rates, the wording around them, and what happens once approval comes back.
Items, tax, discount
Add a line by choosing from the items you have already saved, or type a new one straight into the estimate and keep it for next time. Start quoting straight away and build your catalog as you go.
Set the tax rate that applies to this piece of work, and apply a discount as a rate or as an amount. Totals recalculate as the lines change, so the figure the client reads is the figure you meant to quote.
Detail and custom fields
A line item rarely explains the scope on its own. The additional details section gives you room to set out what is included, what is not, and any conditions attached, so the client reads the terms in the document they are approving rather than in a covering email.
Add the fields your business works with, whether that is a project reference, a site address or a purchase order number, and they appear on the estimate next to the standard details. The references your client needs are right on the document.
Approval, then billing
Once the client approves, the estimate can become an invoice without you rebuilding it, carrying the items, quantities and totals across. If you requested a deposit, the client can accept and pay it in one step, and the estimate is invoiced as they do.
Each estimate holds its own record: what you sent, when it went out and where it ended up, and you get a notification if the client declines it. Open quotes stay visible instead of disappearing into a sent folder, Send Reminder nudges a client who has gone quiet, and an approved one can be pulled up months later when a client asks what was agreed.

Questions
As many as you need. Estimates are included on every plan, including the free plan. Your plan sets how many customer and business profiles you can quote for and how many emails you can send a day.
Yes. Type the description, rate and quantity straight into the estimate and it prices like any other line. If it is something you expect to quote again, keep it as a saved item so the next estimate starts from it.
Yes. Tax and discount rates are yours to define, so a job with an unusual rate or an agreed reduction is quoted correctly. Totals recalculate as soon as the rate is applied to the lines.
Use the additional details section. It gives you space beneath the priced lines for scope, exclusions and any conditions, so the client approves the terms and the figures together.
The approved estimate can convert into an invoice, either when you decide to convert it or automatically on approval. Items, quantities and totals move across, so the invoice bills exactly what the client agreed to. If you requested a deposit, the client is taken straight to pay it.
Yes. Each estimate keeps its own status and history, so you can tell which quotes are still open, which were viewed and which were approved. The email you send carries the estimate as a PDF attachment, Send Later schedules it for a time you choose, and you can download a PDF or share the link whenever a client asks for a copy.
Yes to both. The client can choose Decline on the estimate page and add an optional reason, and you get an Estimate declined notification in the app. Set an Expiry Date in the estimate editor and, once it passes, the page invites the client to request an updated estimate from you.
Use Send Reminder. It opens the email window with reminder wording ready to send, and the estimates list shows when you last reminded the client.
Yes. In Business Settings → Design, choose Choose by document type and pick a design for estimates, or build one in the template builder. Estimate headings follow the design's document language. Saving a customized design is included on paid plans and in the 30-day free trial.
Build an estimate from your own items, rates and fields, send it out for approval, and let it become the invoice when the client says yes.
