What is inside

One screen for every payment gateway

Gateways are configured once at the account level. After that they apply to invoices, payment links and recurring billing alike, with their fees and their reporting handled in the same place.

The gateways themselves

15 gateways, ready to connect

PayPal, Stripe, Razorpay, Square, Payoneer, Braintree, Authorize.net, Airwallex, GoCardless, PayFast, PayTabs, Telr, M-Pesa, PhonePe and Paystack are all included on paid plans, with PayPal on every plan, and you can run as many at once as you like. Each one connects with your own merchant credentials, so the relationship and the rates stay between you and the processor.

Billing clients in other countries

Different markets favor different providers, so you can offer several. The gateways support a range of currencies, so an invoice raised in your client's currency can be paid in it, while your own reporting stays in your base currency.

  • A processor for each market you sell into

Fees and choice

Who pays what, and how they pay it

Gateway fees added to the invoice

Set a percentage fee against each gateway. When a customer settles through that gateway, the charge is applied to the invoice for you, so you recover processing costs without working them out by hand.

  • A percentage fee per gateway
  • Applied when that gateway is used
  • Calculated for you

The customer picks how to pay

Whatever you have enabled is offered on the invoice, and the customer chooses between them at the point of paying. They pay with the provider they trust, which removes one more reason to delay.

Which gateway earns its keep

A breakdown by gateway

Received amounts are split out by the gateway that carried them, so you can see whether your clients reach for PayPal, a card or a local processor. Over a few months that tells you which connections are worth keeping and which are costing more than they return.

Transactions as they happen

Each payment raises a notification as it comes in, whichever gateway processed it, and lands against the invoice at the same moment. A payment that needs a second look, or a refund made in the provider's dashboard, is held in Payments Needing Review for you to decide on. Your books stay current without end-of-day exports.

Everything your gateways connect to

Gateways are built in. They sit under invoices, payment links and recurring billing, and they feed the same reports.

  • Verified payments

Every payment is confirmed with the provider before the invoice is marked paid.

  • Currency flexibility

Invoice an overseas client in their own currency and let the gateway settle it.

  • Enable and disable

Turn a gateway on or off whenever your business or your client base changes.

  • Fees on the invoice

Gateway charges are added to the document rather than discovered at the end of the month.

  • Payment links

The same gateways serve a fixed-price offer sold from a shareable link, not just invoices.

  • Recurring charges

A repeating invoice collects automatically through subscription-ready gateways such as Stripe, Square and GoCardless, cycle after cycle.

  • Deposits and part payments

Split an invoice or take a deposit; the gateway handles each amount separately.

  • Security standards

Card details are entered securely with the gateway and never stored in your account.

  • Paid from the portal

Clients can pay any open invoice from their portal with the options you offer.

  • Several business profiles

Each brand you run under one login can present its own set of payment options.

  • Aged debt

See what is still outstanding once gateway receipts have been applied to invoices.

  • Posts to accounts

Each confirmed payment is recorded against its invoice and posted to your books.

Questions

Payment gateways, answered

Can I enable or disable specific payment gateways?

Yes. Each gateway is switched on or off independently, so you can run PayPal and Stripe today and add Razorpay when you start selling into a new market. Only the ones you have enabled appear to a customer at the point of payment.

How does the gateway fee setting work?

You set a percentage fee for each gateway in its payment settings. When a customer pays through that gateway, the fee is added to what they pay and shows on the invoice as Gateway Fees with its rate, so processing costs are not absorbed by you.

How many gateways can I connect?

As many as you like on paid plans. They can all run at the same time if that suits how you sell, and you can add one later without disturbing the gateways already in use. Customers see whichever of them you have enabled.

How are the transactions kept secure?

The payment itself takes place with the gateway, using the merchant account you connected. Card numbers are entered on the processor's side and are not stored in your invoicing account; what returns to Invoice Crowd is the record of the payment.

Do I need my own account with each gateway?

Yes. You connect your existing merchant accounts, which means the payout schedule and the processing rate remain whatever you agreed with that provider. The money goes straight to you, and Invoice Crowd records what came in and against which invoice.

Can I tell which gateway my clients prefer?

Yes. Amounts received are broken down by gateway, so you can compare what each one brought in over a period. That is usually enough to show whether a connection is earning its fees or whether your clients have quietly standardized on one.

Which gateways can refund a payment from inside Invoice Crowd?

Stripe, PayPal, Razorpay, Square, Braintree, Authorize.net, Airwallex, GoCardless and Paystack. Choose Refund on the paid invoice and Invoice Crowd sends the refund through the provider, creating the credit note and recording the refund once the provider confirms it. For the other gateways, refund in the provider's own dashboard and record it in Invoice Crowd.

What happens to my gateways if I move to the free plan?

Your settings are kept safe. The free plan includes PayPal and Payment note, and your other gateways are set aside, ready to return the moment you upgrade. Customer subscriptions already running on a paid gateway keep collecting for 30 days and are then paused, never cancelled, while those on Braintree, Authorize.net and Telr keep running. Upgrading brings every gateway back and resumes paused subscriptions automatically.

Can customers pay by bank QR code instead of a gateway?

Yes, on paid plans. Bank QR puts a bank payment QR code for UPI, Pix, EPC QR (GiroCode), Swiss QR-bill, PayNow or PromptPay on the invoice and its PDF, with the amount due and the invoice number filled in. With no provider in between there are no gateway fees, and you mark the invoice paid when the money arrives or match it from your bank statement.
