Build on Invoice Crowd with a secure Developer API

Give your own software secure, scoped access to one business. Read customers, items, vendors, projects, taxes and documents over a clean REST API, and create customers, items, draft invoices and estimates, draft bills and purchase orders, expenses and time entries with exactly the access you grant. Sending and payments stay in your hands.

  • Read-only or read-and-create keys
  • Scoped to one business
  • Sending and payments stay with you

How it works

Keys you control, a scope you choose

Create a key on the Integrations page, choose its business and what it can do, and share it with your developer. You stay in control and can revoke any key at any time.

Creating a key

Created by the owner, confirmed with your password

Invoice Crowd Create API Key window with the key name, one business, Read Only access and the password confirmation

Create a key in seconds

Name the key, choose its business and what it can do, then confirm with your password, plus your authenticator code when two-factor sign-in is on. The key is shown once, so store it somewhere safe, such as a password manager. Copy Setup Prompt hands your AI coding tool the address and key in one paste.

  • Up to five keys
  • 90-day keys you can renew
  • Ends when your password changes

Read-only or read-and-create access

A Read Only key reads customers, items, vendors, projects and documents. Read and Create Records adds exactly the records you tick: Customers and Items, Draft Invoices and Estimates, Draft Bills and Purchase Orders, Expenses, and Time Entries. Need broader access later? Create a new key with the scope you want.

  • Choose each kind of record
  • See every key's access at a glance
  • Revoke any key instantly

Reading and creating

Same rules as the app

Invoice Crowd API Reference Quick Start with the curl examples and Base URL, and a sample customers response for the key's business

Read your business data securely

Read the business's details, customers, items, vendors, projects, taxes and expense categories, and list or open invoices, estimates, bills and purchase orders. Results arrive as paged JSON, 25 rows at a time, and every key is scoped to its own business.

  • JSON over HTTPS
  • Paged results, 25 rows each
  • Scoped to one business

Create records with built-in validation

New records pass the same checks as Invoice Crowd's own forms. Invoices, estimates, bills and purchase orders arrive as drafts, ready for you to review and send. Expenses post to your books just like the Add Expense form, and time entries are logged on an existing project. Each record is saved the moment the request succeeds.

  • Documents arrive as drafts
  • Invalid requests save nothing
  • Works within your plan's allowances

Built for developers

Reference, retries and usage

Invoice Crowd API Reference page with the OpenAPI File button, the Authentication and Access rules, and its stable error codes

A clear API Reference, built in

The API Reference, opened from the Integrations page, gives your developer the base URL, authentication and a quick start, plus an OpenAPI file for their tools. Errors return JSON with a stable code and a plain-language message that explains the next step.

  • OpenAPI file included
  • Stable error codes
  • One Authorization header to authenticate
Invoice Crowd API Reference allowance and idempotency rules, with a create sent twice under the same Idempotency-Key returning the same draft invoice instead of a duplicate

Idempotent requests and clear usage

Every create carries an Idempotency-Key, so a retried request returns the original result instead of a duplicate. All your keys share one monthly request allowance, shown as Requests This Month on the Integrations page, and every response reports the requests remaining and the reset date.

  • Retries never create duplicates
  • One shared monthly allowance
  • Resets each calendar month

Questions

Developer API, answered

Does Invoice Crowd have an API?

Yes. The Developer API gives your own software secure access to one business with an API key. It reads your data and creates the records you allow: customers, items, draft invoices and estimates, draft bills and purchase orders, expenses and time entries. Keys are created on the Integrations page.

Will the API send anything to my customers?

Only you send documents to customers. Invoices and estimates created through the API arrive as drafts that you review and send from Invoice Crowd, and payments, deletions and edits to existing records stay in the app.

Which plans include the Developer API?

Paid plans billed monthly or yearly include the Developer API. Your monthly request allowance appears on the Integrations page as Requests This Month.

How long does an API key last?

Each key lasts 90 days, and you can renew it from its menu for another 90 days with the same access. Revoking a key or changing your Invoice Crowd password ends it at once, and you can hold up to five keys.

What happens if my software retries a request?

Nothing is duplicated. Every create carries an Idempotency-Key header, so sending the same key and body again returns the original result instead of creating a second record. Reusing a key with a different body is rejected.

How is the Developer API different from Zapier, Pabbly Connect or AI Connections?

Zapier and Pabbly Connect connect Invoice Crowd to other apps without code. AI Connections let Claude or ChatGPT prepare changes that you approve. The Developer API is for your own software, with a key you control and records saved straight away within the access you chose.

Can Invoice Crowd notify my software when a record changes?

Yes, with webhooks. On the Integrations page, add a webhook URL and choose events such as Invoice Updated, Customer Created or Expense Created, and Invoice Crowd posts signed JSON to your HTTPS address each time one happens. The API reads and creates records when your software asks; webhooks tell your software the moment something changes.
