An expense automation should connect a reliable source document with the correct business, category and payment record. Before building a Zap, confirm the supported app actions, define duplicate handling and test how corrections will be reviewed.
Check the available actions first
Look at the current Invoice Crowd Zapier connector and the other app’s supported events. Do not assume that a connection can create, approve or reimburse an expense unless that action is available.
Define the expense record
- Supplier, transaction date and amount.
- Currency and any tax information needed for review.
- Receipt or supporting-document reference.
- Business purpose, category and project where relevant.
- A unique reference from the source system.
Missing receipts, personal purchases and unclear categories should go to a review queue. Keep the person approving an expense visible. Do not treat a receipt upload as proof that a payment is valid or already reimbursed.
Test duplicate and incomplete records
Send one valid test record, then send it again. Confirm that the retry does not create a second expense. Test a missing currency, an unreadable attachment and an unavailable destination app. Decide which failures can be retried safely.
Reconcile the result
Compare the recorded expenses with the relevant statement or payment records. Check fees, exchange differences and transactions that were cancelled or refunded. An automation may transfer data correctly while the underlying accounting treatment still needs review.
