A contractor invoice records independent work supplied to a client and identifies the contractor, client, services, dates, charges, tax treatment and payment terms.
Choose a format that follows the contract, local tax status and whether billing is fixed price, time and materials, progress based or reimbursable.
What a contractor invoice should include
| Section | Contractor invoice example |
|---|---|
| Parties | Contractor legal name and address, client legal entity, contacts, and required tax identifiers |
| References | Invoice number, contract, work order, project, purchase order, and service period |
| Labor | Dates or period, work category, quantity or hours, unit rate, and line total |
| Materials | Specific item, quantity, price, agreed markup, and supporting receipt where required |
| Milestones | Completed stage, acceptance evidence, contract percentage, and amount billed |
| Payment | Currency, tax, credits, total, deposit, balance, due date, method, and reference |
To invoice for work as a contractor, start from the contract and approved change orders. Do not bill an unapproved extra by hiding it in a broad line. A typical contractor invoice makes labor, materials, expenses, retention, deposit, and tax separately understandable.
A free contractor invoice template in Excel, Google Docs, or PDF may be enough for an occasional draft, but contractor invoices need unique numbering, version control, delivery evidence, payment status, and secure records. Employment classification and tax treatment depend on the real relationship and local law, not on calling someone a contractor.
Link the invoice to the approved work
Use the contract, job or site reference, then separate original work from approved variations. If the arrangement includes a deposit, retention or progress claims, show how the current amount relates to earlier billings. The invoice should explain the calculation without replacing the supporting certificate or approval. Resolve disputed work before presenting it as an undisputed final balance.
Example
An independent developer bills 40 approved hours at $90, separately lists a licensed component at cost and references the signed work order.
What to watch for
An invoice does not determine employment classification, tax residency or withholding obligations. Those questions require contract and professional review.
