A payment link is a way to collect money. An invoice is the commercial record of what was sold, to whom, for how much, under which terms and when payment is due. Most credit sales need an invoice with a payment link attached.

A link without context is dangerous. The payment can arrive with no reliable customer, invoice or tax treatment attached.

Send an invoice when

  • The customer needs line items, tax, purchase-order reference or legal seller details.
  • Payment is due later.
  • Partial payments need to reduce a visible balance.
  • The sale must be approved, disputed, credited or audited later.
  • The customer accounts payable team needs a document before it can release money.

The strongest workflow uses both

  1. Create the invoice as the authoritative amount due.
  2. Generate the payment link from that invoice, not as an unrelated request.
  3. Send both in the same message or customer portal.
  4. Validate the provider result against invoice, amount and currency.
  5. Apply the successful payment once.
  6. Keep pending, failed, refunded and disputed states separate.

This is the difference between “a customer paid 500” and “invoice 1042 was settled by a verified 500 payment.” The second is reconcilable.

Fees and settlement

Record the gross payment against the invoice, the provider fee separately, and the net bank deposit through the clearing account. Do not reduce sales to the cash amount that arrived.

A callback saying “success” is not enough on its own. Match merchant account, invoice reference, amount, currency and provider status. Process each provider event once so a retry cannot settle the invoice twice.

Usually not for a business credit sale. A receipt proves payment. The invoice documents what was sold and the amount that became due. Local consumer rules may differ.
