  • Products, services, quantities, discounts, taxes and optional items match the work sold.
  • Invoice numbering, dates, terms, credits and corrections preserve an audit trail.
  • Customer-facing documents are readable on mobile, accessible and clearly branded.

Payment and receivables workflow: 10 points

A gateway logo is not evidence. Complete a low-value payment, failure and correction in the actual settlement currency. Then prove what appears on the invoice, in the customer balance and in the accounting record.

  • The gateways you can legally and commercially use support the intended country and currency.
  • Deposits, partial payments, split schedules and recurring invoices match real contracts.
  • Payment fees, refunds, credits and failed payments reach the financial record correctly.
  • Reminders can be reviewed, paused and traced without embarrassing the customer.
  • A customer portal or equivalent history shows what was sent, paid and still due.

Accounting, compliance and control: 16 points

These controls decide whether the software remains trustworthy a year later. A product can score well for client experience and still fail the business if posted records drift, exports are incomplete or local compliance is only implied.

  • Invoices, bills, expenses and payments produce reports your accountant can reproduce.
  • Multi-currency records freeze or explain the rate and date used.
  • Local invoice fields, structured formats or government submission are proven for your case.
  • Roles and business boundaries prevent the wrong person or company from seeing or changing records.
  • Exports include customers, documents, line detail, tax, credits, payments and attachments.
  • Backups, retention, deletion, security and incident-response responsibilities are documented.
  • The provider identifies plan limits and add-on dependencies before purchase.
  • Known product limitations are written plainly enough to design around.

The maximum is 46 points, but a high total does not overrule a zero on a mandatory item. Local tax submission, trust accounting, payment availability or data ownership can be a gate. Mark those requirements before scoring.
