A service invoice is a billing document for completed or scheduled services, commonly organized by task, period, hours, milestone or fixed fee.
Use the billing basis agreed in the proposal or contract and show the service period, scope reference and acceptance evidence needed by the client.
Service invoice template fields and example
| Field | Example |

| Project and reference | Customer onboarding, SOW-14, PO-8821 |
| Line description | Implementation workshop and documented action plan |
| Quantity and rate | 6 hours at $140 per hour |
| Reimbursable expense | Approved travel, receipt attached, $86 |
| Payment | Net 15, due 15 September 2027, bank reference IC-2140 |
A service invoice template should explain time, deliverables, milestones, retainers, and expenses in the language of the agreement. The client should not need a separate call to understand what was done. Service invoices also need the ordinary seller, buyer, invoice number, tax, currency, total, and payment fields.
A free invoice template in Excel, Word, Google Docs, or PDF can produce a professional invoice, but it does not automatically protect numbering, versions, status, or reconciliation. When you create an invoice, preserve the authoritative data even if the client receives a downloaded PDF.
Adapt the template to the service delivered
A monthly support invoice needs a service period; a one-off repair needs a description of the completed work and any approved materials. Put the acceptance or job reference where the client can find it. If the price includes expenses, show whether they are included in the fee or reimbursed separately. That distinction reduces questions when the invoice reaches a different person from the project contact.
Example
A monthly marketing invoice lists the August service period, retainer amount, approved out-of-scope hours and tax separately.
What to watch for
A reusable template saves time only when it is adapted to the client's purchase-order, tax, currency and payment requirements.
