A cash collection forecast converts open invoices and expected customer behavior into a time-based estimate of incoming cash.
Forecast by invoice and week, apply realistic probability and delay assumptions, and separate committed payments from hopeful amounts.
Cash collection forecast example
| Invoice | Open amount | Due | Expected week | Basis |
|---|---|---|---|---|
| IC-2041 | $20,000 | 11 Aug | Week of 18 Aug | Customer historically pays 7 days late |
| IC-2048 | $5,000 | 15 Aug | Week of 11 Aug | Written payment promise |
| IC-2050 | $8,000 | 20 Aug | Uncertain | Invoice dispute remains open |
A cash flow forecast should separate committed, probable, and uncertain inflows. Forecast by invoice and week, then update for customer behavior, disputes, partial payments, returned payments, and concentration. The 13-week forecast is a decision model, not a substitute for accounts receivable or the bank balance.
Compare forecast cash with actual collections and explain forecast error. Over time, this makes future cash and liquidity decisions more realistic.
Forecast collection dates, not just invoice dates
Use the customer expected payment date and the reason for it: normal behavior, a confirmed promise or a dispute resolution. Show uncertain amounts separately instead of treating every overdue invoice as next-week cash. Compare the forecast with receipts each week and update assumptions. That feedback is more useful than repeatedly moving an uncollected amount into the following week.
Example
A $20,000 invoice due Friday is placed in the next week because the customer historically pays seven days late, while a promised $5,000 installment remains in the current week.
What to watch for
A forecast is not the receivables ledger. It is a decision model that must be updated when disputes, promises and payment behavior change.
